In plain language

This policy explains what MinutesMet ("MinutesMet", "we", "us") collects through the website at minutesmet.com and the app at app.minutesmet.com (together, the "Service"), and how we use and protect it.

1. Who uses MinutesMet

MinutesMet is built for adult professionals: school-based occupational therapists, physical therapists, speech-language pathologists and their assistants. Students do not use the Service or create accounts. The Service is not directed to children, and we do not knowingly collect information directly from children.

2. Information we collect

From you, when you create an account

Information you enter about students ("Student Data")

To track services, you may enter information such as student names, pronouns, class or group, service minutes and targets, schedules, attendance, session notes, IEP goals and baselines, and evaluation scores and narratives. This information is typically part of a student's education records. You and your school control it; we process it only on your behalf to provide the Service.

If you subscribe

Payments are processed by Stripe. Your card details go directly to Stripe and never reach our systems. We receive and store your Stripe customer ID, your subscription plan and status, and billing dates.

From the founding member list

If you join our list on the website, we collect your email address, and optionally your first name and role.

Automatically

Our hosting and database providers keep standard technical logs, such as IP addresses and request times, for security and to keep the Service running. We do not use analytics trackers, advertising cookies or social media pixels.

4. Schools and FERPA

When a school employee uses MinutesMet with education records, we act as a service provider under the direct control of the school with respect to that data, as described in the Family Educational Rights and Privacy Act (FERPA). We use Student Data only for the purpose you entered it for, and we do not re-disclose it except as needed to provide the Service or as required by law. You are responsible for making sure your use of MinutesMet follows your school or district's policies.

5. Who we share information with

We share information only with service providers who help us run MinutesMet, under agreements that limit their use of it:

We may also disclose information if required by law, to protect the rights and safety of users, or as part of a sale or transfer of the business, in which case this policy's protections would continue to apply to the information transferred.

6. Storage on your device

The app keeps a copy of your caseload on the device you're signed in on, so it works without a connection. Signing out removes that copy. The website itself does not set cookies.

7. Security

Data is encrypted in transit and at rest, and each caseload is locked to its own account by database-level rules. No system is perfectly secure, but we work to protect your information and will notify affected users without unreasonable delay if a breach occurs. Our security page has more detail.

9. Your choices and rights

You can view, correct and export your information in the app, and ask us to delete it. Depending on where you live, you may have additional rights under state privacy laws. Parents or eligible students with questions about a student's education records should contact the student's school, since the school controls those records; we'll help the school respond.

10. Changes to this policy

If we make a material change, we'll email account holders and update the date at the top before the change takes effect.
